Minibar Billing

Many hoteliers facilitate the guests with a freezer inside the room along with bar and food items. Rooms with such facility need to be assigned a Minibar (Warehouse) in order to maintain the inventory transactions like transfer of bar and food items from Main Warehouse to Room Warehouse and vice versa.

 

In order to maintain stocks inside a freeze in a Room please follow the steps given below:

Step 1: Create the Room Warehouse:
1.From main menu go to the Warehouse Master (M > I > W)
2.Type the name of the Room Warehouse at field “Warehouse Name” like Room 611. Though you can give any name for the warehouse, name as same as the room number will be more helpful to identify easily at any time.
3.You may change the print name or keep it same as the warehouse name
4.Press ALT + S to save.

Step 2: Create the Main Warehouse:
1.From main menu go to the Warehouse Master (M > I > W)
2.Type the name of the Main Warehouse at field “Warehouse Name” like Main Kitchen
3.You may change the print name or keep it same as the warehouse name
4.Press ALT + S to save.

Step 3: Assign the Room Warehouse to the Room:
1.From main menu go to the Room Master (M > H > R)
2.Open the Room in modify mode
3.Press ALT + L at Minibar (Warehouse) field and then select the warehouse for the list
4.Press ALT + S to save.

Step 4: Set MOP in the Sale Invoice Option:
1.From main menu go to the Sale Invoice (Scan POS) (S > T > S)
2.Press ALT + O to get Transaction Option screen
3.Go to the field “Mode of Payment” and press Enter key there
4.Press ALT + L and then select MOP “Charge to Room” from the list
5.Click OK and then press ALT + S to save.

Step 5: Set the Menu and Minibar Billing:
1.From main menu go to the Sale Invoice (Scan POS) (S > T > S)
2.Press ALT + O to get Transaction Option screen
3.Go to the field “Menu” and press Enter key there
4.Set Effective Date, Effective Time, Menu etc
5.Set the table layout at field “Layout” if you are using table mode transaction else set “Quick Mode” if you are using quick mode transaction. For Quick Mode transaction you must set it to Quick Mode else while entering into the POS and Minibar Billing (H > T > P), list of the Guests along with Room Number and Room Type will not appear and if the selection of room along with guest is not done then the bill amount will not be added to the guests room account.
6.Press ALT + L at “Customer” column and then select “Minibar Billing” from the list.
7.Click OK and then press ALT + S to save the changes.

Note:

While entering into the POS and Minibar Billing (H > T > P) after making above changes, list of the Guests along with Room Number and Room Type will appear. You need to select the room number from where the order comes and then choose the item(s) as per the order. Now if you press T or click on the “T Tender” button then the bill amount will be added to the guests' room account automatically. The amount may be paid by the guest at the time of check-out or any time during his / her stay using Payment transaction.

Step 6: Transfer of Stocks from Main Warehouse to Room Warehouse:
1.From main menu go to the Stock Transfer (W > T > T)
2.Press ALT + L at From field and then select the source warehouse along with location say “Hyatt Regency-Main Kitchen”
3.Press ALT + L at To field and then select the destination warehouse along with location say “Hyatt Regency-Room 611”
4.Press ALT + L at field Product and then select the items you want to keep inside the room freezer
5.Put the appropriate quantity of the items
6.Keep the status as “Received”
7.Press ALT + S to save.

Step 7: Minibar Billing:
1.From main menu go to the POS and Minibar Billing (H >T > P)
2.Select the Room from the list (In case table mode first open a table then select from the list)

3.Select the items that are consumed and put the quantity as shown in the picture below:

4.Press T or click on “T Tender” button

 

Note:

Minibar charges will be added to the Guest Account as Other Charges.
Only in house Guests will be shown in the list along with Room Number and Room Type.
At the day of check-out waiter counts for the consumed items from the freezer inside the room. And the consumed items need to be sold like this to the concerning room so that the actual amount can be charged to the guest.
After select the room it will show transferred stocks along with quantity, if "Check max stock quantity = Yes" in Sale Invoice (Scan POS) option and "Chk Stk = Yes" for the items in the Menu Management.

Step 8: Transfer rest of the stocks to Main Warehouse from the Room:
1.From main menu go to the Stock Transfer (W > T > T)
2.Press ALT + L at From field and then select the source warehouse along with location say “Hyatt Regency-Room 611
3.Press ALT + L at To field and then select the destination warehouse along with location say “Hyatt Regency-Main Kitchen
4.Press ALT + L at field Product and then select the items you want to move from the room freezer
5.Put the appropriate quantity of the items
6.Keep the status as “Received
7.Press ALT + S to save.
