Introducing Day Open and Day Close to minimize business errors.

 

Scenario:

Day to day transactions must be settled down, all batches must be closed and all users must be logged out before Day Close. This is to minimize mistakes.

 

Step 1: Enabling Day Open and Day Close:

    1. From main menu go to the Location Master (M > I > L)
    2. Press ALT + L to select the location at “Location” field
    3. Set “Allow Day Open/Close Procedure” field under the “Other Setting” section to Yes 
    4. Press ALT + S to save the changes
    5. Log out the software.

 

Note:

Now onward during log in, system will generate Day Session automatically. On the subsequent log in, it will check whether the Session is Closed or Open. If it is Closed then system will generate new Day Session else allow you to go with existing session. 

 

Step 2: Open a Day Session

1. Day Open is controlled by the Designation Setup > Change Action Control > Perform Day Open = Yes / Secure / No.

2. If "Perform Day Open = Yes" then during log in:

  • If no Day Session is found then it will ask to Open a Day Session showing the message say “Currently no day is open. Would you like to open day? Date 18-Nov-2013 Time: 10.31 AM”. Log in will not be allowed without opening a Day Session.
  • If a Day Session is already exist then it will allow you to go with existing session showing the message say “Day is still open from 17-Nov-2013 Current Date : 18-Nov-2013 Current Time : 10:05 AM”.

 

3. If "Perform Day Open = No" then during log in:

  • If no Day Session is found then it will not allow you to open the software showing message say “Currently no day is open. Please contact your administrator”.
  • If a Day Session is already exist then it will allow you to go with existing session showing the message say “Day is still open from 17-Nov-2013 Current Date : 18-Nov-2013 Current Time : 10:05 AM”.

Note:

  • Once a Day Session is opened, it will be continued until and unless you close it manually.
  • It consists numeric id like 000001.001, 000002.001 etc which is called Day ID.
  • Day ID will be same for every users in same location but different between two or more locations.

 

Step 3: Close a Day Session

    1. From main menu go to the Day Close (S > T > D)
    2. Press ALT +C or click “-C Day Close” button to close the current Day Session.
    3. Subsequently, the system will be logged out automatically
    4. Further log in will not be allowed without opening a new Day Session.

    • Day Close button "-C Day Close" is controled by the Designation Setup > Change Action Control > Perform Day Close = Yes / Secure / No.
    • All Open batches must be Closed before Day Close.
    • All Pending Transactions must be settled down before Day Close.
    • All User(s) must be logged out before Day Close.
   
Step 4: Day Close Report
    1. From main menu go to the Day Close Report (S > R > C)
    2. It shows Day Open and Day Close details.
