Migration process to be followed in multi-location

SITUATION:

They have 3 locations as…

  1. HO (01-04-2007 to Current Date)
  2. BRANCH1 (01-04-2008 to Current Date)
  3. BRANCH2 (01-04-2009 to Current date)

Answer:

Process should be followed…

They want us to split their data year wise, this leads us to a little bit complex procedure of splitting data in multi-location environment. Use the following steps to make the process easier to you…

SPLITTING HEAD OFFICE DATABASE

Head Office has the data from 01-04-2007 to Current Date. So we have to split this as per the following…

  1. From 01-04-2007 to 31-03-2008
  2. From 01-04-2008 to 31-03-2009
  3. From 01-04-2009 to 31-03-2010
  4. From 01-04-2010 to 31-03-2011 (will be created automatically)

SPLITTING BRANCH1 DATABASE

BRANCH1 has the data from 01-04-2008 to Current Date. So we have to split this as per the following…

  1. From 01-04-2008 to 31-03-2009
  2. From 01-04-2009 to 31-03-2010
  3. From 01-04-2010 to 31-03-2011 (will be created automatically)

SPLITTING BRANCH2 DATABASE

BRANCH2 has the data from 01-04-2009 to Current Date. So we have to split this as per the following…

  1. From 01-04-2009 to 31-03-2010
  2. From 01-04-2010 to 31-03-2011 (will be created automatically)

SYNCHRONIZING THE DATA

In case of multi location it is advisable to synchronize the data till the split day and match the data in HO and branches for consistency.

FIRST SET OF SPLITTING

HO

  • Split HO data from 01-04-2007 to 31-03-2008
  • After split, check the data base, match closing and opening and check accounts as well.

SECOND SET OF SPLITTING

HO

  • Split HO data from 01-04-2008 to 31-03-2009
  • After split, check the data base, match closing and opening and check accounts as well.

BRANCH1

  • Split BRANCH1 data from 01-04-2008 to 31-03-2009
  • After split, check the data base, match closing and opening and check accounts as well.
  • Transfer the opening balance of BRANCH1 Database (from 01-04-2009 to current date) to HO Database

HO

  • Import BRANCH1’s Opening Balance
  • Check the data base, match closing and opening and check accounts as well.

THIRD SET OF SPLITTING

HO

  • Split HO data from 01-04-2009 to 31-03-2010
  • After split, check the data base, match closing and opening and check accounts as well.

BRANCH1

  • Split BRANCH1 data from 01-04-2009 to 31-03-2010
  • After split, check the data base, match closing and opening and check accounts as well.
  • Transfer the opening balance of BRANCH1 Database (from 01-04-2010 to current date) to HO Database

HO

  • Import BRANCH1’s Opening Balance
  • Check the data base, match closing and opening and check accounts as well.

BRANCH2

  • Split BRANCH2 data from 01-04-2009 to 31-03-2010.
  • After split, check the data base, match closing and opening and check accounts as well.
  • Transfer the opening balance of BRANCH2 Database (from 01-04-2010 to current date) to HO Database

HO

  • Import BRANCH2 Opening Balance in HO
  • Check the data base, match closing and opening and check accounts as well.

NOTES:

  1. In case of multi location it is advisable to synchronize the data till the split day.
  2. Root and Branch has to do the split independently.
  3. First Split the branch database then split the HO database otherwise the opening balance will again need to be transferred.
  4. Split will work on the default location only: That means you need to split the database of Root Location at Root and Branch Location at Branch.
  5. The opening balance will only be created for the location where split is done. This means the Root Location has to get the opening balance from all the locations after split.
  6. The opening balance should be transferred to HO
